JOB TITLE : Administrator & Receptionist
LOCATION : Bloemfontein
DURATION : 36 Months- Fixed Term Contract

Purpose of the Position
To provide efficient administrative and receptionist support in a warehouse environment. This role ensures smooth day-to-day operations by coordinating office functions, maintaining records, and serving as the first point of contact for visitors, clients, and suppliers. The ideal candidate must demonstrate strong organizational skills, professionalism, and the ability to multitask in a dynamic warehouse setting

Minimum Requirements
• Matric (Grade 12)
• Diploma in Office Administration, Business Administration, or related field.
• Minimum 2 years of experience in administrative or receptionist roles. Experience in a logistics, transport, or warehouse setting is highly advantageous
• Valid Driver’s License (advantageous but not essential)

Core Responsibilities
• Maintain filing systems both electronic and physical for logistics, stock control, and general admin.
• Assist with data capturing as required by the warehouse team.
• Order and maintain office and warehouse stationery and supplies.
• Assist in generating regular reports for warehouse and logistics management.
• Manage calendars and schedule meetings for warehouse supervisors or managers.
• Greet and direct visitors, drivers, and contractors upon arrival at the warehouse.
• Manage the warehouse reception area ensuring it is tidy and professional.
• Answer, screen, and forward incoming phone calls and emails.
• Handle and distribute incoming and outgoing mail and deliveries.
• Coordinate visitor sign-in and site safety inductions where applicable.
• Maintain a visitor log and support site access control processes.
• Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
• Perform other clerical receptionist duties such as filing, photocopying, etc
• Track completion of operational checklists (e.g., daily vehicle logs, inventory reports, safety forms).
• Oversee any construction or renovation works taking place at the warehouse site, ensuring compliance with company standards and safety protocols. Report progress and escalate any delays or issues to management.
• Ensure readiness of documentation for inspections, audits, or management reporting
