Purpose of the Position
The Hr Officer /Payroll Administrator will provide comprehensive human resources and payroll support across Njilo Consulting & Logistics. The role is responsible for employee lifecycle management, HR administration, employee relations , compliance with labour legislation, recruitment and onboarding. Training coordination and managing payroll processes through the Sage 300 People system. This role requires accuracy, confidentiality and strong organisation skills to ensure efficient HR operations and accurate payroll processing while supporting employees and management in line with company objectives.
Minimum Requirements & Experience
• Diploma or Degree in Human Resources, Payroll Administration, Industrial Psychology, or related field.
• Professional HR/Payroll certification (advantageous).
• 3–5 years’ experience in Human Resources and Payroll administration.
• Hands-on experience with Sage 300 People (essential).
• Strong knowledge of HR practices, payroll legislation, tax, and South African labour laws.
• Experience in logistics/consulting or related industries (advantageous).
Core Responsibilities
1. Recruitment and Onboarding
• Manage end-of-the-end recruitment process, including drafting job descriptions, advertising vacancies, screening candidates, arranging interviews, and assisting with selection processes.
• Coordinate pre-employment checks (references, qualifications, criminal checks, where applicable).
• Draft and issue employment contracts and onboarding packs.
• Facilitate new employee orientation and induction programmes.
• Ensure proper integration of new hires into the company.
2. Employee Lifecycle Management
• Maintain accurate and up-to-date employee records and personnel files.
• Process employee changes such as promotions, transfers, confirmations, resignations, and terminations.
• Support managers with probation review processes and documentation.
• Assist with performance management documentation and tracking of KPIs.
• Ensure exit processes are managed, including clearance, exit interviews, and final documentation.
3. Employee Relations and Communication
• Provide guidance to employees and managers on HR policies, procedures, and labour legislation.
• Support the management of disciplinary and grievance processes, ensuring procedural fairness.
• Act as a point of contact for HR-related queries.
• Promote positive employee engagement, wellbeing, and workplace culture.
4. Payroll Administration and Input Processing
• Monitor and action payroll input submitted.
• Validate all payroll data received for accuracy and completeness.
• Accurately capture input on input files in line with payroll guidelines.
• Verify and process employee claims, including:
• Total kilometers travelled and applicable rate per km
• Overtime hours and correct payable rates.
• Process employee lifecycle changes on Sage People (New hires, Late starters, promotions/demotions, transfers, termination).
• Ensure all staff movements/transactions are supported by correct documentation.
• Complete and update CTC salary structures and benefit structures in line with payroll guidelines.
• Verify employee job details (title, reporting line, department) against supporting documents.
• Ensure provident fund contribution percentages align with onboarding documentation.
• Capture and update payroll corrections.
• Process banking detail changes, verifying proof of bank details against uploaded documents.
• Assist with annual payroll audit, providing required reports and documentation.
• Identify and escalate payroll risks to the line manager.
• Monitor adherence to payroll policies and escalate deviations where necessary.
5. Stakeholder Engagement & Relations
• Liaise with HR regarding payroll closing dates/timelines in line with payroll calendars.
• Respond to payroll queries and escalate where required.
• Distribute payroll reconciliations for departmental review and approval.
• Facilitate payroll approval processes as directed by the Payroll Lead or line manager.
6. Reporting & Documentation
• Compile monthly input registers for control and audit purposes.
• Produce monthly reports on banking detail changes for manager verification.
• Ensure all supporting payroll documents are filed and saved in compliance with payroll guidelines.
7. Benefits Administration
• Ensure accurate onboarding documentation for provident fund is submitted and verified.
• Facilitate benefit offboarding processes (Provident fund).
• Coordinate and process third-party termination notices on time.
• Obtain manager approval for all onboarding/offboarding of employees in line with benefits guidelines.
• Collaborate with HR to manage disability, death, and ill-health benefit claims with insurers.
8. Learning & Development
• Coordinate training schedules and logistics for internal and external programmes.
• Track training attendance and maintain training records.
• Assist with Workplace Skills Plans (WSP) and Annual Training Reports (ATR) submissions.
• Support implementation of employee development initiatives.
9. Compliance & Policy Administration
• Ensure compliance with South African labour legislation (BCEA, LRA, EE Act, OHSA).
• Support the implementation and monitoring of HR policies and procedures.
• Assist with Employment Equity reporting and compliance requirements.
• Prepare HR-related reports for management and external stakeholders.
10. General HR Administration
• Draft HR correspondence including letters, notices, and reports.
• Ensure HR documents are filed and accessible in line with company guidelines.
• Support HR projects and initiatives as assigned.
• Provide administrative support to the HR Manager.
