Administrator & Receptionist

LOCATION : KwaZulu-Natal
DURATION : 12 Months- Fixed Term Contract

Purpose of the Position
To provide efficient reception and administrative support to ensure the smooth day-to-day operations of the office. The Receptionist and Office Administrator serve as the first point of contact for visitors, clients, and service providers while maintaining professional front-office services and providing administrative assistance across various business functions. The role requires excellent organisational skills, professionalism, and the ability to effectively manage multiple priorities in a dynamic office environment.

Minimum Requirements

• Matric (Grade 12).
• Diploma or Certificate in Office Administration, Business Administration, or a related field will be advantageous.
• Minimum of 2 years’ experience in an administrative or receptionist role.
• Experience in a corporate or professional office environment will be advantageous.
• Valid Driver’s Licence (advantageous but not essential).

Core Responsibilities

Reception and Front Office Management
• Greet and direct visitors, clients, and service providers in a professional and courteous manner.
• Manage the reception area, ensuring it remains neat, presentable, and welcoming at all times.
• Answer, screen, and forward incoming telephone calls and emails promptly and professionally.
• Coordinate visitor sign-in procedures and maintain an accurate visitor register.
• Manage meeting room bookings and ensure meeting spaces are prepared when required.
• Receive and communicate messages accurately and efficiently to relevant employees.
• Handle general reception enquiries and provide administrative support to staff and management.

Administrative Support

• Maintain electronic and physical filing systems for office documentation.
• Manage calendars and schedule meetings, appointments, and interviews as required.
• Prepare meeting packs, presentations, and administrative documents when necessary.
• Assist with the preparation of reports and general correspondence.
• Perform general clerical duties including filing, photocopying, scanning, printing, and document management.
• Ensure all office records are maintained accurately and confidentially.
Office Operations • Order and maintain office stationery, refreshments, and general office supplies.
• Monitor stock levels of office consumables and coordinate replenishment where required.
• Coordinate office maintenance requests and liaise with service providers to resolve issues promptly.
• Oversee the tidiness and functionality of common office areas and meeting rooms.
• Assist with the coordination of office events, staff engagements, and internal meetings where required.
Courier and Package Management
• Receive, record, and distribute incoming courier deliveries and packages.
• Coordinate outgoing courier collections and deliveries.
• Maintain accurate records of incoming and outgoing parcels and important documents.
• Liaise with courier service providers regarding collections, deliveries, and tracking information.
• Ensure confidential or sensitive documents are handled securely and delivered appropriately.
Compliance and Record Management • Maintain accurate office records, registers, and administrative documentation.
• Ensure documentation is readily available for audits, inspections, or management reporting purposes.
• Support compliance with company policies, procedures, and administrative controls.
• Maintain confidentiality when handling sensitive company information and employee records.
• Track the completion of assigned administrative tasks and follow up on outstanding matters.

General Duties

• Assist departments with administrative requirements as requested.
• Support onboarding activities for new employees, including workstation readiness and documentation where applicable.
• Coordinate travel bookings, accommodation arrangements, and meeting logistics when required.
• Perform any other administrative and receptionist duties reasonably assigned by management.
