Purpose of the Position
The Fleet Coordinator is responsible for managing and overseeing the company’s fleet of vehicles to ensure optimal performance, safety, and cost-efficiency.
Minimum requirements:
•Bachelor’s degree in Logistics/ Fleet/, Transportation Management, or a related field.
•Minimum of 2-4 years of experience in fleet management or logistics coordination.
•Strong knowledge of vehicle maintenance, safety standards, and regulatory compliance.
•Proficiency with fleet management software and Microsoft Office Suite.
•Valid driver’s license: commercial driver’s license (CDL) may be preferred or required.
1. Fleet Management:
•Maintain an up-to-date inventory of all fleet vehicles, including acquisition and disposal records.
•Oversee the registration, licensing, and insurance documentation for all vehicles.
•Monitor vehicle utilization to optimize fleet size and optimal efficiency.
•Maintain accurate records of all fleet activities, including mileage, fuel consumption, and service schedules.
2.Maintenance Coordination:
•Schedule regular maintenance and inspections to ensure vehicles are in safe and working order.
•Coordinate repairs and service appointments with external vendors or in-house mechanics.
•Keep detailed maintenance records and track service history for each vehicle.
3.Compliance and Safety:
•Ensure all fleet operations comply transportation regulations.
•Implement safety policies and procedures, including driver training programs.
•Conduct regular audits to ensure adherence to safety standards and regulations.
•Keep up-to-date records of vehicle registrations, licenses, insurance policies, and inspections.
4.Fuel and Expense Management:
•Monitor fuel consumption and implement strategies to improve fuel efficiency.
•Manage fleet budgets, track expenses, and identify cost-saving opportunities.
•Analyse data to forecast future costs and budget requirements.
5.Driver Coordination:
•Serve as the primary point of contact for drivers regarding scheduling, concerns, and compliance.
•Verify driver qualifications, licenses, and certifications are current and valid.
•Address driver issues promptly and effectively to maintain high morale and performance.
•Implement safety protocols and conduct regular training sessions for drivers.
•Monitor driver behaviour and compliance with safety regulations.
•Investigate and report any accidents or incidents involving fleet vehicles.
6.Scheduling and Logistics:
•Coordinate vehicle assignments and schedules to meet operational demands.
•Optimize routes and delivery schedules to improve efficiency and reduce costs.
•Collaborate with other departments to ensure timely delivery of goods and services.
7.Reporting and Data Analysis:
•Utilize fleet management software to track vehicle locations, performance, and maintenance needs.
•Provide insights and recommendations based on data analysis to improve fleet operations.
8.Emergency Response:
•Develop and implement emergency response plans for fleet operations.
•Coordinate assistance in case of vehicle breakdowns or accidents.
•Ensure backup vehicles are available when needed.
