JOB TITLE: Procurement Officer

Purpose of the Position
The Procurement Officer is responsible for managing the end-to-end procurement process, ensuring the acquisition of goods and services that meet quality, cost, and delivery expectations. The position involves strategic sourcing, supplier management, negotiating favourable terms, and ensuring compliance with procurement policies. The Procurement Officer plays a key role in optimizing procurement efficiency, controlling costs, and contributing to the overall success of the organization by ensuring a reliable supply chain and maintaining high standards of ethical and sustainable procurement practices.
Minimum Requirements

Educational Qualification: Matric, A degree or diploma in Supply Chain Management, Procurement, Business Administration, or a related field. Professional certifications such as CIPS will advantageous.

At least 2-3 years of experience in procurement or supply chain management, with hands-on experience in sourcing, supplier management, and report writing.

Strong understanding of procurement strategies, sourcing methods, and supply chain management best practices.

Understanding of procurement regulations and legal compliance.

Ability to negotiate effectively with suppliers, build strong relationships, and collaborate with internal teams.
Core Responsibilities

Develop and implement procurement strategies to optimize sourcing and supplier selection processes.

Maintain accurate records of procurement transactions, contracts, and vendor information.

Stay abreast of market trends, industry developments, and regulatory requirements to inform procurement decisions.

Identify opportunities for cost savings and process improvements within the procurement function.

Monitor and track procurement expenses and provide cost reports to senior management.

Develop and implement standard operating procedures (SOPs) for the procurement process.

Ensure policies align with organizational goals, budget constraints, and compliance requirements.

Identify opportunities for cost savings, including bulk purchasing, long-term contracts, and more competitive sourcing.

Prepare regular procurement reports to inform stakeholders about trends, savings, and performance.

Act as the main point of contact between departments and suppliers.

Identify and onboard new suppliers, negotiate favourable terms, and ensure a competitive supply base.

Build and maintain strong, long-term relationships with suppliers to secure the best pricing, delivery times, and quality standards.

Monitor and evaluate supplier performance to ensure reliability, quality, and cost-effectiveness.

Collaborate with internal teams (finance, operations, and legal) to ensure procurement meets their needs and supports departmental goals.

Provide procurement training to staff, ensuring compliance with new processes and systems.

Foster open communication between procurement teams, suppliers, and other stakeholders.
Skills and Knowledge

Comprehensive knowledge of procurement best practices, including sourcing strategies, vendor management, cost analysis, and discount negotiation.

Strong ability to negotiate favourable terms with suppliers, ensuring competitive pricing, optimal delivery terms, and quality standards.

Ability to identify, evaluate, and build relationships with suppliers to ensure a reliable and cost-effective supply chain.

Excellent written and verbal communication skills for effective interaction with suppliers, stakeholders, and team members.

Ability to analyse market trends, supplier performance, and procurement data to make informed purchasing decisions.

Capability to address procurement-related issues and resolve conflicts with suppliers or internal teams promptly.

High attention to detail to ensure accurate documentation, compliance, and procurement accuracy.
